Access and Adjustments
Will there be a way for advisors to determine if a student they are advising has financial aid?
Yes. A function has been added to DegreeWorks that allows advisors to see if a student has Title IV federal aid or WV state aid that will be affected. The aid must be in offered or accepted status in order for it to indicate the student has aid that may be impacted. If a student has declined the aid, it would not show.
Students can also view their financial aid online through their WVU Portal. How can advisors view CPoS results for a specific student?
To view CPoS results for a student:
- Go to your WVU Portal
- Click on the "STAR" button
- At the main menu, select the "Faculty & Advisors" tab at the top
- Select the "Course Program of Study (CPoS)" link
- Enter the student ID number and select the semester from the drop-down box to review
- This will show if the courses the student is registered in for the semester are degree-pursuant (count toward enrollment requirements for Title IV federal aid and WV state aid)
- Results will be available if the student has registered for courses and the CPoS process has evaluated their courses for the selected semester.
- The CPoS process does not run immediately, so it may be a few business days before this information is updated after changes are made.
- If no results appear under the tab, the CPoS process has not evaluated the student's registered courses yet for the selected semester.
Will override access be given to anyone who has the title of “advisor”? Or will there be someone in each college designated to receive override requests?
This will be determined by the colleges and must be updated appropriately in Banner. Banner will determine which advisor receives communications and access to making overrides in the system.
Can we change major requirements to include a minor in order to accommodate students whose minor may not otherwise count as degree-pursuant?
In this situation, the advisor may be able to utilize a minor the same way they would an area of emphasis and add exceptions to the requirements as needed. Also, keep in mind that once a student is registered full-time in degree-pursuant credit hours, additional courses beyond those hours do not need to be degree-pursuant.
High School Courses
How will dual enrollment from high school affect a student’s degree-pursuant course load, and what is being communicated about this policy to high schoolers and counselors to help them prepare?
At this point, CPoS has been discussed in general with high school counselors, but there has not yet been any sort of holistic approach taken to communicate with all high schools. We are not sure when and how that would be implemented, but we will continue to investigate and update the colleges.

What will the communications to students and advisors look like when a student is not taking enough degree-pursuant hours?
We are planning a series of emails to both students and advisors/points of contact to alert when one or more classes presents a risk to the student’s Title IV federal aid or WV state aid. Drafts were shared in Phase II.
How frequently will WVU run CPoS audits? When will they start and stop?
This is undetermined at this point, but the goal is to start audits when registration begins (3/21). After running it initially, we would run updates for any registration changes periodically through an undetermined point during the semester (although it would be after add/drop). It has not been determined when the process will stop running during the semester.
Do CPoS alerts have to go to the student’s advisor on record, or can schools designate that a specific person receives and handles them?
Each college can determine who receives the notifications for their students. However, these staff members need to be listed as the advisor of record in Banner.
Other Questions
What happens if a student does not follow an advisor’s guidance and fails to register for 12 degree-pursuant credit hours?
The student’s advisor will not be held responsible - the student must ultimately take ownership and accountability for their own schedule. Advisors should make appropriate notes in DegreeWorks to document how the student was advised to schedule.
Is it possible to utilize a 2+2 program for our regional campuses when trying to combine an associates and a bachelor’s degree?
Our committee is doing some research to determine if that is an option student could utilize to maximize their financial aid eligibility in that scenario. We will update the colleges with any new information.
Do we know how many students at WVU are currently full-time vs. part-time, and what percentage of the enrollment this would impact?
Based on some raw numbers* from Fall 2019 and Spring 2020, the approximate percentages of full-time and part-time enrollment on all three campuses are as follows:
